How to create a community server with roles and moderation

Creating a server takes a minute. Keeping it a pleasant place once it passes 50, 500 or 5,000 people is another story. This guide covers the structure, roles and moderation tools that save you headaches from day one.

Plan before you create channels

The classic mistake is creating 30 channels on day one. With a few people spread across many channels, everything looks empty and the community dies. Start with the minimum, watch where conversations happen and split things up only when a channel gets too crowded. Answer three questions first: what the community is about, who should join and what isn't allowed.

Step by step

    Create the server

    Click Create server ("Criar servidor"), give it a name and choose to start from scratch or from a template. Add an icon, a banner and a short description saying what the community is about.

    Build the channel structure

    Split it into categories: Welcome (rules and announcements), Chat (general and topics), Voice (rooms) and Staff (private). Start with few channels and add more when there's demand.

    Write the rules

    A few rules, clear and with examples. Turn on server rules so everyone has to accept them before taking part.

    Create the role hierarchy

    From highest to lowest: Admin, Moderator, Member and Newcomer. Each role gets only the permissions it needs.

    Turn on automatic protections

    Turn on the word filter, the mention limit, slow mode in busy channels, and keep automatic invite pausing on mass joins enabled.

    Set up invites

    Create invites with a landing channel and a starting role. For larger communities, use join-by-request mode to approve who gets in.

    Agree on how moderation acts

    Define an escalation ladder with your team: warning, timeout, kick and ban. Use the audit log to see who did what.

Roles and permissions: the principle of least privilege

Each role should have only what it needs. In Falafy, permissions are split into groups: general server, members, text channels and voice channels. A safe starting point:

A role can only edit roles below its own highest role, so order matters. Keep the permission to mention everyone restricted to staff to avoid mass notifications.

  • Polls and forums: let the community choose topics and organize questions in threads that don't get lost.
  • Your own expressions: emoji, stickers and soundboard sounds made by the community build identity.
  • A human welcome: someone from staff greeting newcomers is worth more than any bot.

How many roles does a server need?

To start, three or four are enough: Admin, Moderator, Member and, optionally, Newcomer. Create extra roles only when there's a clear need.
